Position: Part-time Admin Assistant

Whole Connection is looking for Admin Assistant to help with the growing need for our community based counseling clinic.  Because of the recent growth we are focusing on bringing in support for the Executive Director.

Description

This position is comprised of several different roles and a variety of responsibilities.  It will be fast paced at times and will allow for engagement across the Whole Connection team.

The main responsibilities will be around intakes and billing (see details below), but there will also be responsibilities around events, trainings, office scheduling, outreach, and marketing.

Intake coordination is an important part of the Whole Connection process and will therefore be a crucial role for the new Admin Assistant.  In this role you will make calls to potential and new clients, help review intakes, record information into our client tracking system, and monitor new client status as they move through the full intake process with their newly assigned therapist.

Billing coordination, another critical role, entails billing for client sessions, tracking claims, and inputting information as needed.  Billing occurs twice monthly.

This position will report directly to the Executive Director and there will be a combination of collaborative side-by-side work as well as self-directed solo work. Work will range from 10-15 hours per week with room to increase hours as we grow.

Responsibilities

  • Required weekly meetings are on Wednesdays at 1pm

  • Maintain daily connection as intake coordinator

  • Billing every other week and keeping track of information

  • Supporting monthly trainings through coordination, setup, and clean-up

  • Helping track filing and entering content into the client management system

  • Supporting the Marketing Specialist as needed

Benefits

  • Basic training on billing, phone screens with potential clients, and intakes

  • $16/hr base

Qualifications

  • Bachelor's Degree in Business, Psychology, Social Work, or a related field

  • Experience with information systems

  • Good people skills

  • Prior work in administration roles or front desk experience

Desired Qualifications

  • Experience working with people in difficult situations (possibly crisis)
